Dharmaraja College Web Database System
Dharmaraja College Archives developed and maintains these web database. There are seven applications use the data in the database to present data in different users of the Rajans community. The information can be viewed, added and updated depending on the type of information, application and users' permissions. This help document is under construction and it will give step by step instructions for using the applications.
Available Web Applications
This appliacation allows registering new users. After registration you will receive a link to activate your account. Then you can view information of web databases. After identifying your correct record from the College records you will be notified through email. Once you have received that notification, you can add/change your personal information including your personal photograph. In addition you can upload the information that you have into the databases. Read relevant sections for more information.
This is the main application for the members of the Rajans’ community. Information of all Past Students Principals, Teachers, Founders, and Well-wishers can be accessed through this application. The registered and authenticated users can change and upload their personal information. The basic information of Rajans' from year 1913 to date is already entered to the database.
The information of all the artefacts of the College Archives can be accessed and maintained through this application. The guest account can be used to view artefacts as a list. The registered members can view artefacts grouped under inventories. Also they can upload the artefacts available with them to uploadable inventories. The users those who have large collection of artefact and those who wish to have their personal inventories, please request from Web Master to create your own inventories. The Data Administrators of the Archives have full access to all information including calcified information.
In this application, the personal information given in above will be presented to the college unions’ members and officers. In addition, the information of each union's office bearers and activities will be maintained through this application. The basic information is available to all guests and registered users. The authorized data entry officers are allowed to maintain their membership information and change member’s personal information (if owner authorized) such as contact details. Other authorized user can search members information based on there professions which is very useful in organizing societal activities. The officers and activities of each union and of each year can be maintained by the authorized data entry officer of that year. All the users can view this information. The artefacts available in the College Archives can be linked to services of each union so that details such as photos and documents of each activity can be directly accessed without searching the Archives Web Database. The data administration is granted to the data entry officer of each year. The unions can use the link directly in their websites so that the membership and activities can be viewed from their web sites. This is very advantages for all the unions as single update of personal information will provide up-to-date information for all the unions and the College. Information of old boys’ can be exported to MS Excel format which could be used to generate address labels and also to print members list.
It is a serious problem in preserving college history that information related to school sports and co-curricular teams’ activities are not properly maintained. Therefore this web database will help to address the problem. The information of all the sports and other co-curricular teams is accessed and maintained through this application. Guests and Registered users can view all the information. The authorized users (Masters In-Charge) are allowed to maintain the data.
Information of a set of sports and other co-curricular teams are allowed to be maintained by above registered and authorized members of the Rajans' community allowing them to provide the information of teams of which they were members and also to give their personal achievement information to the College Archives. This information will be verified by the College Archives data administrators.
School Management System
This application maintains the information of all the present students and staff of the College. It will be accessed by the school administration and it will allow performing all the day to day administrative activities of the college. This information will be made available to Rajans' community when each member leaves the College.
As far as the topics covered is concerned, this web site could be the fist of this kind in any college in Sri Lanka and could be in the world. (Though there are School Management Systems they are not extended to past members of the school). Therefore we need you help to collect information to this skeletal database. When this is full of information it will help to maintain a sound relationship among Rajans and preserve the college history for posterity. So use the databases and provide necessary information. Since this is in pilot testing phase, your suggestion can be easily accommodated. If you found any thing missing, please report to President, Archives Foundation.
